Business Support Officer

Actica is a fast-growing Digital Transformation consultancy working primarily in the UK Public Sector. We deliver high-quality, high-impact, independent, client-side advisory services to customers including MoD, Home Office, Ministry of Justice, Blue Light, National Security and other government agencies. 

Our diverse team of highly skilled and experienced consultants deliver complex projects to limited timescales, providing a varied range of services including business consultancy, enterprise architecture, cyber security consultancy, technology consultancy, strategic planning and procurement support. 

Reporting to the Business Support and Facilities Manager and working closely with the Business Support Team, you will be trained and supported to develop your skills and knowledge and you’ll be at the heart of keeping everything organised, up to date, and running smoothly.

Key Responsibilities
Your main duties will include, but is not limited to:
  • Tendering: 
    • Recording and maintaining accurate records of the incoming tender opportunities which also includes;
    • Monitoring and liaising with colleagues regarding clarification questions;
    • Liaising with existing and new customers by email or relevant web portals;
    • Packaging and submission of proposals via email or relevant web portals once received from our consulting team
    • Monitoring for notification of tender outcomes and advising appropriate colleagues accordingly;
    • Updating records with tender outcomes and filing correspondence accurately
  • Subcontractor and Associate Management:
    • On/off-boarding administrative tasks
    • Compliance checks
  • General admin: 
    • Provide general administrative support to Business Support and Facilities Manager and Directors as required, which may include:
      • Arranging and booking meeting rooms 
      • Contribute to maintaining the meeting rooms, kitchen area and general office space ensuring they are clean, tidy, presentable and suitable resources for colleagues, clients and visitors
      • Filing and shredding
      • Ordering and maintaining supplies of stationary, office and kitchen provisions and printer consumables
      • Support with the administration relating to Environmental and Quality ISO Management
      • Assisting in tasks such as event management, marketing, preparing our internal staff newsletter, arranging office maintenance and service visits
Skills, Knowledge and Expertise

  • Experience in an admin coordination role would be ideal, with a passion and aptitude for developing a career within business administration in a busy office environment
  • Accurate and timely data entry skills, with a high level of attention to detail
  • Good numeracy skills
  • IT literate
  • Excellent time management and organisational skills with the ability to prioritise effectively
  • Superb communication skills, with an outgoing personality and an eagerness to succeed in a dynamic and progressive business development culture

You’ll primarily be based at our offices in Guildford, Surrey with some home working by agreement with the Business Support and Facilities Manager. Limited travel to some of our other offices (Swindon, Cheltenham and London) may be required but this will be infrequent .

You will also work with a Performance and Development Manager, often outside of your project line of control, who will conduct regular reviews based on project feedback to set career objectives and identify training courses which are both relevant to your current project work, and aligned with your planned career progression.
